Editing and Deleting Shifts

Team admins and event admins can update a shift's name and times, or delete a shift entirely, directly from the event page.

Overview

Once a shift has been created — whether automatically when the event was set up, or manually using the Add Shift button — you can go back and adjust its details at any time. You might need to rename a shift to something more meaningful, correct the start or end times, or remove a shift that was added by mistake. All of this is done from the shift tab bar on the event detail page.

Before You Start

  • You need either the admin team role or the Event Admin designation for this event to edit or delete shifts.
  • If you're not sure whether you have the right access, ask your team administrator.
  • To delete a shift, it must have no jobs logged against it. A shift with jobs assigned to it cannot be deleted.

Editing a Shift

Editing a shift lets you update its name, start time, and end time.

  1. Go to the event detail page and locate the Shifts tab bar near the top of the page.

  2. Click the tab for the shift you want to edit to make it the active shift.

    The shift actions menu only appears on the currently active tab. If you can't see the menu button, click the shift's tab first.

  3. Click the (ellipsis) button to the right of the active shift tab to open the actions menu.

  4. Click Edit Shift. The Edit Shift modal opens with the current name and times pre-filled.

  5. Update any of the following fields:

    Field What it controls
    Name The label shown on the shift tab (e.g., Day 1, Morning Shift)
    Starts at The date and time the shift begins
    Ends at The date and time the shift ends (must be after the start time)

    All times are displayed and entered in UK time (Europe/London). During British Summer Time, that's BST (UTC+1); in winter, it's GMT (UTC+0). IndieBase handles the conversion automatically.

  6. Click Save. The modal closes and the shift tab updates immediately to reflect the new name and times.

Deleting a Shift

Deleting a shift permanently removes it and its associated records. This action cannot be undone.

  1. Go to the event detail page and click the tab for the shift you want to delete to make it the active shift.

  2. Click the (ellipsis) button to open the actions menu.

  3. Click Delete Shift.

    If Delete Shift does not appear in the menu, the shift has jobs logged against it and cannot be deleted. You would need to remove those jobs first, or contact your team administrator for help.

  4. A confirmation prompt appears: "Delete this shift? This cannot be undone." Click OK to confirm, or Cancel to go back.

  5. The shift is deleted and the page automatically switches to the first remaining shift in the event.


Tips & Best Practices

  • Rename shifts before your event starts. Auto-generated shift names like New Shift are placeholders. Give each shift a clear, recognisable label (e.g., Day 1 - Friday, Night Shift) so your team knows which one to select.
  • Check shift times are accurate early. Jobs and crews are tied to specific shifts. Incorrect start or end times can cause confusion at handover, especially on multi-day events.
  • Only delete empty shifts. If you accidentally created an extra shift but jobs have already been logged against it, speak to your team administrator rather than trying to delete it yourself.
  • Deleting a shift is permanent. There is no undo. If you're unsure, consider renaming the shift instead of removing it.

Troubleshooting

The ⋮ menu button isn't visible on the shift tab.

The actions menu only appears on the currently active shift tab, and only for users with admin access to the event. Check two things: first, make sure you've clicked the shift tab to make it active; second, confirm you have either the admin team role or the Event Admin designation. If you still can't see it, ask your team administrator.

Delete Shift is not shown in the actions menu.

IndieBase only offers the Delete Shift option when the shift has no jobs logged against it. If the option is missing, the shift has at least one job assigned to it. You cannot delete a shift that contains jobs.

I get a validation error when saving the shift.

The most common cause is an Ends at time that is earlier than or the same as the Starts at time. Make sure the end time is set to a point after the start time and try saving again.

The shift tab still shows the old name after saving.

Try refreshing the page. If the updated name doesn't appear after a full refresh, the save may not have completed - open the edit modal again to check the current values.
