Crew PIN Switching

On a shared tablet, crew members can switch between their own accounts in seconds using a 4-digit PIN - no logging out, no lost progress.

Overview

When multiple crew members are using the same device, Crew PIN Switching lets each person take over the active session instantly. The device locks after 5 minutes of inactivity (or you can lock it manually), and the lock screen shows a list of crew members who have PINs set up. Tap your name, enter your PIN, and the app continues exactly where it was - same page, same job.

All edits made while you're the active user are attributed to you in the audit log, so the record always shows who did what.

Before You Start

  • Each crew member must have a 4-digit PIN set up on this device before they can appear in the switch list. If you haven't set one yet, see Locking the App.
  • Both users must be members of the same team.
  • PIN switching works fully offline - PINs are verified locally using cached data, so no network connection is needed.

Setting Up Your PIN

Before Crew PIN Switching can work for you, you need to set a PIN on the device you'll be sharing.

  1. Wait for the app to lock, or lock it manually using the padlock icon in the top menu bar.
  2. On the lock screen, tap Set a PIN.
  3. Enter your account password to confirm your identity.
  4. Enter a 4-digit PIN on the pad.
  5. Enter the same PIN again to confirm.

Your PIN is saved to this device and is ready to use immediately.

Your PIN is stored on this device only. If you use a different tablet or phone, you'll need to set your PIN there separately.


Switching Users on the Lock Screen

When the app locks, the lock screen shows every crew member who has a PIN set up on this device.

  1. Tap your name in the list.
  2. The PIN entry pad appears with your name shown above it.
  3. Enter your 4-digit PIN.

The app unlocks as you as soon as you enter the fourth digit. You land on the same page the previous user was on.

Switched User Indicator

When you're active via a PIN switch (rather than your own original login), a small (switched) label appears in amber next to your name in the top menu bar. This is a quick visual cue that the session belongs to someone else's login.

Handing Back to the Previous User

When you're done, simply lock the device again:

  • Tap the padlock icon in the top menu bar, or
  • Leave the device untouched for 5 minutes.

The lock screen reappears with the crew list. The previous user taps their name, enters their PIN, and they're back in - no need for either of you to log out.


Signing In as a Completely Different User

If someone who isn't in the crew list needs to use the device - for example, a colleague from a different team - they can sign in with their full account credentials.

  1. On the lock screen, tap Login as different user.
  2. Tap Continue to login.
  3. The standard login form appears. Sign in with your email and password.

Signing in as a different user clears the previous session. Any unsynced changes from the previous user are preserved on the device and will sync to the server automatically once you're back online.


Tips and Best Practices

  • Set your PIN at the start of the shift. If you wait until the device locks mid-job to set your PIN, you'll need your account password to hand. Get it done before you go operational.
  • Keep your PIN private. Don't choose an obvious sequence like 1234 or 1111. Other crew members can see you entering it, so treat it like any other password.
  • PIN switching works offline. If you're at a remote event with no signal, PIN switching still works. There's no need to worry about connectivity when handing the device between crew members.
  • Edits are attributed to the active user. The audit log records who made each change. Make sure you've switched to your own profile before editing a job - don't let the previous user's session carry your changes.
  • If you forget your PIN, tap Use password instead on the lock screen and unlock with your account password. You can then set a new PIN.

Troubleshooting

My name isn't showing on the lock screen.

You don't have a PIN set on this device yet. Ask the current user to unlock the device, then follow the steps in Setting Up Your PIN above.

I entered my PIN correctly but it's not working.

PINs are device-specific. If you set your PIN on a different device, you'll need to set it again on this one. Tap Use password instead to unlock with your account password, then set a new PIN.

I've been locked out after too many wrong PIN attempts.

After 5 consecutive incorrect attempts you'll be locked out for 5 minutes. The lock screen shows a countdown. Once it expires, try again - or use Use password instead if you've forgotten your PIN.

The (switched) label is still showing after I switched to my own name.

This can happen if your account is not the primary logged-in account on this device. It doesn't affect how the app works - your actions are still attributed to you. If you need the label to go away, use Login as different user to sign in fully with your own credentials.

I can't see a PIN entry pad - just a password field.

The crew member you tapped doesn't have a PIN set on this device. They'll need to set one before crew PIN switching is available for their account.
