Emergency Access Mode

emergency offline lock access security records

How to access the app and record patient data when you are offline and cannot unlock normally.

Emergency Access Mode

If the app is locked and you have no internet connection, Emergency Access Mode lets you get back in, create jobs, and record patient data - even without a PIN or password.

Overview

Emergency Access Mode is a last-resort unlock option for situations where normal unlock is not possible: your device is offline, you haven't set a PIN, or you simply can't remember one. It is designed for operational use at events where capturing patient data cannot wait.

When you enter Emergency Access Mode, you identify yourself by name. The app lifts the lock screen, and you can use it as normal - all team configurations and cached job data are still available. Every record you create is tagged with an emergency session ID. When the device reconnects to the internet, the app prompts you to sign in properly, and all those records are claimed by your verified identity.

This mode is designed for genuine operational emergencies. All records created during an Emergency Access session are flagged for review and attributed to the account you verify on reconnection. If you can unlock normally, do so.

Before You Start

  • Emergency Access Mode is only available when the device is offline. If you have an internet connection, use your PIN or password to unlock instead.
  • You will need to sign in with your email and password when connectivity returns to claim your records. Make sure you know your account credentials.
  • Team configurations and cached jobs from your last sync are available in Emergency Access Mode. Any data created since your last sync will not be available.

Entering Emergency Access Mode

Step 1: Look for the Emergency Access button

When the device is offline, the lock screen displays a No internet connection indicator and an Emergency Access button below the normal unlock options.

The Emergency Access button only appears when the device is offline. If you can see it, normal authentication methods that require a network connection will also be unavailable.

Step 2: Tap Emergency Access

Tap the Emergency Access button. The lock screen switches to the Emergency Access entry form.

Step 3: Enter your full name

Type your full name into the Enter your full name field. Your name must be at least 3 characters.

This is the name that will be associated with all records you create during this session - use your real name so your records can be correctly attributed when you sign in later.

Step 4: Tap Enter Emergency Mode

Tap Enter Emergency Mode. The lock screen lifts immediately.

An amber banner appears at the top of the app confirming the mode is active:

Emergency Access Mode - [Your Name] - Records will be synced on reconnection

You can now create jobs and record patient data as normal.

Working in Emergency Access Mode

Once you are in Emergency Access Mode, the app functions normally for recording patient data. You have full access to:

  • Creating new jobs
  • Filling in patient records
  • All cached team configurations (drugs, interventions, hospitals, etc.)

You will not be able to sync data to the server while offline - this is expected. All records are queued and will sync automatically once you are back online and have verified your identity.

If the App Re-locks

The app still auto-locks after 5 minutes of inactivity, even in Emergency Access Mode. When this happens, the lock screen shows a Resume Emergency Session button instead of the name entry form.

Tap Resume Emergency Session ([Your Name]) to continue your session immediately, without re-entering your name.

When Connectivity Returns

As soon as the app detects an internet connection, a Connection Restored modal appears. This modal is non-dismissable - you must sign in to proceed.

  1. Enter your account Email address.
  2. Enter your Password.
  3. Tap Sign In & Claim Records.

After a successful sign-in, all records you created during the Emergency Access session are claimed by your verified account, and normal sync resumes automatically.

If you enter incorrect credentials, the modal stays open and shows an error. You cannot dismiss the modal or continue using the app without signing in - this is intentional. Your emergency records are held securely until you verify your identity.

Tips & Best Practices

  • Set a PIN before you go offline. Emergency Access Mode exists as a fallback, but unlocking with a PIN is much faster and simpler. See Locking the App for how to set one up.
  • Use your real name. Records created in Emergency Access Mode are attributed to the name you enter. Using a nickname or placeholder makes it harder to claim your records later and creates an audit trail problem.
  • Sign in as soon as you have a connection. The Connection Restored modal will appear automatically - don't dismiss it or work around it. The sooner you sign in, the sooner your records are formally attributed to you.
  • The amber banner is your reminder. If you can see the Emergency Access Mode banner, you are in an unverified session. Keep an eye on it and sign in when you can.

Troubleshooting

The Emergency Access button isn't showing on the lock screen.

The device has an internet connection, so normal unlock is available. Use your PIN or password to unlock. If you've forgotten your PIN, tap Use password instead on the PIN screen.

I tapped Emergency Access and I can see a Resume button, not the name form.

A previous Emergency Access session was started on this device but not yet claimed. Tap Resume Emergency Session to continue that session. When you're back online, sign in via the Connection Restored modal to claim those records.

The Connection Restored modal appeared but I don't know my password.

You cannot dismiss the modal, but you can leave the device and come back to it later - your emergency records are preserved. When you have your password to hand, sign in to claim them. If you've genuinely lost access to your account, contact your team admin.

I signed in but I don't see the Connection Restored modal.

If connectivity was restored briefly but the device went offline again before you could sign in, the modal will reappear automatically next time a connection is detected. Your records are still queued and safe.

My records don't appear to have synced after signing in.

Give the app a few seconds after signing in - sync runs automatically but may take a moment. If records are still missing after 30 seconds, check your connection and then try pulling down to refresh the jobs list.
